How "active" is defined

You only pay for engaged employees. Full stop.

Most workplace benefits charge for 100% of headcount even when only 30–40% of staff use them. We think that's daft. Here's exactly what we count.

Counts as active — you pay £8
  • Logged in at least once in the last 30 days
  • Completed onboarding and has an active plan
  • Recorded a workout, meal log, or check-in
Doesn't count — free
  • Invites sitting unopened in inboxes
  • Accounts dormant for 30+ days
  • Anyone who's left the company (auto-removed via HRIS)

Frequently asked

How does the bill change when someone leaves?
We snapshot active headcount nightly. Anyone who left mid-month is prorated out of that month's invoice — you only pay for the days they were on.
Do you charge for employees who don't use HELFF?
No — and this is the whole point. We only bill for active employees: people who have logged in and engaged with the platform in the last 30 days. Invites sitting unopened, dormant accounts, and anyone who's left the company are automatically excluded.
What exactly makes a user 'active'?
An active user is anyone who has logged into HELFF at least once in the last rolling 30 days. They don't need to log a workout daily — just opening the app counts. If someone goes dormant for 30 days, they automatically drop off your bill until they come back.
What if my HRIS isn't on the supported list?
We can usually add a new connector in 1–2 weeks via our HR sync partner. In the meantime you can run on our manual roster CSV upload — same pricing, same proration.
Is there a minimum commitment?
No annual lock-in. Month-to-month, cancel anytime. Larger volume tiers can opt into annual billing for an additional discount.
Can HR see individual employee health data?
No. HR dashboards show aggregated, anonymised cohorts only. Individual data stays with the employee.
Is there a free trial?
Yes — 14 days, no card required. You can connect your HRIS during the trial so you have real numbers before you decide.
